Your QuickBooks Desktop data, in HubSpot.
DeskBridge syncs customers, items and invoices with paid status from QuickBooks Desktop or Enterprise into HubSpot every 15 minutes. A small agent runs on your QuickBooks computer. It only reads from QuickBooks and never writes to it. You pay a flat monthly price with no setup project.
One direction: QuickBooks → HubSpot. Nothing is written back to QuickBooks.
Why this didn't exist
QuickBooks Desktop has no cloud API. The only supported way to read it unattended is Intuit's Web Connector running on the QuickBooks machine, which is why cloud-only marketplace apps never covered it. Until now, the options looked like this:
Priced from around $900 a month, plus an onboarding project.
Quotes HubSpot users have posted publicly for a one-off integration, before any maintenance.
Flat price, no setup fee, cancel monthly. The price stays locked while you stay subscribed.
What syncs
Standard HubSpot objects only, so it works on every HubSpot tier. Each record also gets
qbd_* fields (QuickBooks list ID, balance, terms, last synced) so your team can filter and report on them.
| QuickBooks | HubSpot | Details |
|---|---|---|
| Customers & jobs | Companies | Name, phone and billing address, plus balance, terms, customer type and active flag. Matches existing companies by name so you don't get duplicates. Jobs roll up to their parent customer. |
| Customer email | Contacts | The primary contact, linked to the company. You can switch this off. |
| Items | Products | Name, price, description and SKU. Filter by item type, active only, or a list of name prefixes, so hundreds of part numbers don't clutter HubSpot. |
| Invoices | Deals | One deal per invoice in a dedicated QuickBooks Invoices pipeline, with stages Open → Partially Paid → Paid (voided invoices go to Voided). Amount, invoice date, due date, balance and memo are included, and the deal is associated to the company and contact. |
| Invoice lines | Line items | Each line is attached to the deal and linked to its product. Credit and amount-only lines are handled. |
The first sync brings in all customers, the items your filters allow, all open invoices, and invoices from the last 365 days (adjustable). After that, only changed records move.
How it works
Connect HubSpot
Your HubSpot admin clicks Install and approves access. DeskBridge creates its fields and the invoice pipeline for you.
Install the agent
Unzip the agent on the Windows computer that hosts your company file and run one PowerShell command. It runs as a Windows service.
Add to Web Connector
Load the .qwc file into QuickBooks Web Connector and approve read access once, as the QuickBooks admin.
Choose and sync
Pick what to sync, start the baseline, and watch records appear in HubSpot. After that it runs every 15 minutes by default (5 to 120).
Built to be left alone
Read-only to QuickBooks
DeskBridge only sends query requests. There is no code path that adds, changes or deletes anything in your company file.
Loud when it stalls
If the agent goes offline, the Web Connector stops running, or HubSpot gets disconnected, you get an email and we get alerted. You don't have to check it every morning.
Your edits survive
An edit made in HubSpot stays until that field changes in QuickBooks. You can also mark fields as "never overwrite".
No inbound ports
The agent listens only on localhost for Web Connector and calls out to DeskBridge over HTTPS. Its token is encrypted with Windows DPAPI.
Pause any time
One switch on your status page stops all reads and all HubSpot writes until you turn it back on.
A real person on support
You deal with the developer who built it. Founding customers get a guided install on a screen-share.
What you need
- QuickBooks Desktop Enterprise, Premier or Pro, 2019 or newer, with one company file
- A Windows computer that hosts the company file and stays on (a server or an always-on workstation) with .NET Framework 4.8
- Windows admin rights for the install, and the QuickBooks Admin login to approve Web Connector once
- Any HubSpot tier: Free, Starter, Professional or Enterprise
Not in v1
- HubSpot → QuickBooks (closed-won deal → estimate or sales order). This is next, and founding customers help design it.
- Multi-currency company files
- QuickBooks Online (use HubSpot's own QuickBooks Online app)
- Inventory quantity sync, or sync faster than every 5 minutes
The first 5 companies. List price will be $79/month. The two-way sync is included at no extra cost when it ships. No setup fee. Cancel monthly.
Questions
Does it change anything in my QuickBooks file?
No. Version 1 is read-only. The agent answers Web Connector's polls with query requests only. QuickBooks asks you to approve access because every Web Connector application has to be approved, not because DeskBridge writes data.
Is it two-way?
Not yet. HubSpot → QuickBooks (closed-won deal to estimate or sales order) is the next release. Founding customers get it at no increase and decide how the fields map.
What happens if the QuickBooks computer is off?
Syncing pauses and picks up from where it stopped on the next Web Connector run, so nothing is lost. If it's off for more than a couple of hours, you and we both get an alert.
Will it duplicate companies we already have in HubSpot?
By default, DeskBridge matches existing HubSpot companies by name before creating new ones. Contacts are matched by email.
Where is my data stored?
DeskBridge keeps a working copy of the synced QuickBooks records and your encrypted HubSpot tokens on servers SC Technology operates in the United States, so it can work out what changed. See the privacy policy.
Is it on the HubSpot App Marketplace?
Not yet. HubSpot requires three active customer installs before an app can be listed, so right now you install it from our site. It uses the same HubSpot OAuth approval screen either way.
Can I cancel?
Yes, any month. Uninstall the app in HubSpot and remove the agent. Everything already synced stays in HubSpot. If you leave, the founding rate doesn't carry over to a later subscription.
